What we collect about you and about the companies in our data, why, who helps us run the service, and how to have your data deleted.
01Who we are
Incumbently runs this website and the app at app.incumbently.com. For anything in this policy, email hello@incumbently.com.
02The company data in Incumbently
Incumbently is a database of business facts about companies: which software tools they use, and when that changes. We collect these facts from public sources only:
- DNS records and subdomains
- SSL certificates and public certificate logs
- Website code that any visitor's browser loads
- Public job posts
- Company news and announcements
We don't log in to anything, go behind paywalls or get around bot checks. The product shows facts about companies, not profiles of people. To have your company's data corrected or removed, email hello@incumbently.com from your company domain.
03Your account
When you sign up we store your name, email address and workspace settings, such as the tools you track. You sign in with Google or with a one-time code we email you. With Google, we receive your name and verified email address; we never see your Google password.
04How you use Incumbently
We log how the app, the API and the MCP server are used: features used, API and MCP calls, and the credits they spend. We use these logs to run credits and billing, enforce fair use, fix errors and improve the product.
Product analytics run on our own servers with PostHog. Neither the website nor the app loads advertising trackers, tracking pixels or third-party analytics scripts.
06Payments
Dodo Payments is the merchant of record for paid plans. Dodo processes your payment, handles tax and sends receipts. We never see or store your full card details; we receive your plan, billing status and the email used at checkout.
07Who helps us run Incumbently
We share personal data only with the services we need to run Incumbently, and only for that:
- Cloudflare, for hosting, our database and network security
- Google, for Google sign-in
- Resend, for sending email such as sign-in codes, alerts and reports
- Dodo Payments, for payments, tax and receipts
- PostHog, for product analytics, sent from our servers
We don't sell personal data.
08How long we keep it
We keep your account data while your account is open. Ask us to delete your account at hello@incumbently.com and we'll delete your personal data, except records we have to keep for tax and billing. Usage logs are kept only as long as we need them for credits, billing and fair use.
09Your rights
You can ask to see, correct, export or delete your personal data, or object to how we use it, by emailing hello@incumbently.com. Depending on where you live, for example the EU, the UK or California, you may also have the right to complain to your data protection authority.
10Changes to this policy
If we change this policy in a way that matters, we'll update the date at the top and tell account holders by email.
